Last Updated: October 13, 2026
First Optical (“we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit https://firstopticalorangeville.com/, contact us, request an appointment, purchase eyewear, or communicate with our team.
We handle personal information in accordance with applicable Canadian and Ontario privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and the Personal Health Information Protection Act, 2004 (PHIPA), where applicable. Additional privacy notices may apply to clinical services and records maintained by your treating eye care professional.
1. Information We Collect
A. Information You Provide Directly
Depending on your interactions with First Optical, we may collect your name, telephone number, email address, mailing address, appointment preferences, order details, billing information, insurance information, and information you provide through forms or communications with our team. When you enrol in electronic communications, we may also record your communication preferences and the date, method, and scope of your consent.
B. Information Related to Eye Care
When necessary to provide or coordinate eye care and optical services, we may collect relevant information such as your date of birth, prescriptions, vision needs, eye health history, examination or fitting information, and insurance eligibility details. We limit collection to information reasonably necessary for the identified purpose and obtain consent where required. Clinical records may be held by the eye care professional responsible for your care.
Please do not submit detailed medical information, payment card details, or other sensitive information through general website forms or ordinary email or text messages. Contact us to arrange an appropriate way to provide that information.
C. Information Collected Automatically
When you use our website, technical information may be collected, including your IP address, browser type, device information, pages visited, referring website, and the date and time of your visit. Where enabled, cookies and similar technologies may also collect information about website interactions, subject to applicable consent requirements.
2. How We Collect Information
We collect information when you contact us, complete a website form, request or attend an appointment, purchase products, provide a prescription, request direct insurance billing, or enrol in email or SMS communications.
Where authorized or otherwise permitted by law, we may receive relevant information from your eye care professional, insurer, or a person authorized to act on your behalf. Technical information may also be collected through our website and the service providers that support its operation.
3. How We Use Your Information
We use personal information to respond to inquiries, arrange appointments, provide or coordinate optical services, process eyewear orders, communicate order and pickup updates, process payments, assist with insurance claims, and maintain necessary business and care records.
We may also use appropriate information to maintain website security, improve website functionality, evaluate service quality, and measure marketing performance where permitted and with any required consent.
Promotional emails and text messages are sent only with the consent required by applicable law. We do not use personal health information for unrelated marketing without the express consent required by law.
We do not sell, rent, or trade your personal information.
4. SMS Communications and Opt-In Policy
If you choose to enrol in First Optical’s SMS messaging program, we may send messages within the scope of your consent, including appointment confirmations and reminders, scheduling changes, eyewear order updates, pickup notifications, and responses to your inquiries. Promotional messages will only be sent where we have obtained the required marketing consent.
Providing your telephone number, submitting an appointment request, or viewing this Privacy Policy does not, by itself, constitute consent to receive promotional text messages. Consent to receive SMS messages is voluntary and is not a condition of purchasing products or receiving care.
Message frequency varies. Message and data rates may apply. You may opt out by replying STOP to a message from us. You may receive a final message confirming your opt-out. Reply HELP for assistance or call (519) 942-1476.
Opting out of text messages does not cancel an existing appointment or order. Please contact us directly to make those changes.
5. Mobile Information Sharing Restrictions
We do not share mobile telephone numbers with third parties or affiliates for their own marketing or promotional purposes. We do not sell SMS opt-in information or consent records.
We may share the information necessary to operate our messaging program with providers that deliver or support messaging services on our behalf, subject to appropriate privacy and confidentiality obligations. These providers are not authorized to use your information for their own marketing. Information may also be disclosed where required by law.
6. How We Share Information
We may share personal information with service providers that help us deliver our services, including website hosting providers, appointment scheduling systems, customer communication platforms, payment processors, and IT support providers. They receive only the information reasonably necessary to perform their functions and are expected to protect it and use it only for authorized purposes.
Where necessary and with the required consent or other lawful authority, we may also share relevant information with your treating eye care professional, optical laboratories, product suppliers fulfilling your order, and insurers processing your claim.
We may disclose information where required or permitted by law, including in response to a valid legal demand. We do not share your personal information with other businesses for their independent marketing without your express consent.
Some service providers may process or store information outside Ontario or Canada. Where this occurs, information may be subject to the laws and lawful access requirements of the relevant jurisdiction. You may contact us for information about the providers and processing locations applicable to your information.
7. Cookies and Tracking Technologies
Our website may use cookies and similar technologies to support essential functions, remember preferences, understand website usage, and, where enabled and appropriately consented to, measure advertising performance.
Where non-essential analytics or advertising tools are used, we obtain consent as required and provide information about their purposes and available choices. We do not treat acceptance of this Privacy Policy as blanket consent to optional tracking.
You can manage or delete cookies through your browser settings and use any consent controls provided on our website. Restricting certain cookies may affect website functionality.
Personal health information, prescription details, and the contents of patient communications must not be disclosed to advertising platforms through tracking tools without the express consent and lawful authority required for that disclosure.
8. Data Security Practices
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the personal information in our care. Access is limited to people who need information for authorized purposes.
No method of electronic transmission or storage is completely secure. Ordinary email and SMS may be accessible to others who use your device or account. Please contact us if you prefer another communication method or need to provide sensitive information.
If a privacy breach occurs, we will take appropriate steps to address it and provide notifications required by applicable law.
9. Data Retention
We retain personal information for as long as reasonably necessary to fulfil the purposes for which it was collected, provide services, maintain required records, resolve disputes, and meet legal and professional obligations.
Different retention periods may apply to appointment inquiries, purchase records, communication consent records, and clinical records. Health records may need to be retained even after you stop receiving services or request deletion.
When information is no longer required, we securely destroy it or render it anonymous, as appropriate. We may retain limited information about an unsubscribe request to ensure your communication preferences continue to be respected.
10. Your Rights and Choices
Subject to applicable law and limited exceptions, you may request access to personal information under our custody or control, request correction of inaccurate or incomplete information, and ask questions about how your information is used or disclosed.
You may withdraw consent where applicable, subject to legal or contractual restrictions and reasonable notice. We will explain any consequences, including whether a requested service can still be provided. Withdrawal does not undo processing that was lawful before consent was withdrawn.
You may request deletion of information that is no longer required, but deletion is not an absolute right and may be restricted by recordkeeping or other legal obligations.
To unsubscribe from promotional emails, use the unsubscribe link in the message. To stop SMS messages, reply STOP, or contact us for assistance.
We may need to verify your identity or authority before responding to a request. If another health care professional holds the relevant clinical record, we will direct you to the appropriate record holder.
You may also raise a privacy complaint with the Information and Privacy Commissioner of Ontario at https://www.ipc.on.ca/ or the Office of the Privacy Commissioner of Canada at https://www.priv.gc.ca/, depending on the matter.
11. Children’s Privacy
First Optical may collect information about children and young people when arranging or providing appropriate eye care and optical services. We handle this information with particular care and obtain consent from the young person or an authorized substitute decision-maker as required by applicable law.
A parent or guardian’s ability to consent or access information depends on the circumstances and applicable consent and privacy rules. We do not assume that every person under 18 is unable to make their own privacy decisions.
Our promotional messaging program is not directed at children. Please contact us if you believe information about a child has been collected or used improperly.
12. Changes to This Policy
We may update this Privacy Policy to reflect changes in our services, information practices, or legal obligations. The current version will appear on this page with an updated date.
Where a change requires additional notice or fresh consent, we will provide that notice or obtain consent before applying the change. Publishing an updated policy does not, by itself, authorize a new use of your information that requires consent.
13. Contact Information
For privacy questions, access or correction requests, communication preferences, or complaints, please contact First Optical and ask for the person responsible for privacy.
